Virtually Rory is a sole trader business run by Rory Manning, based in Peterborough, England. I am the data controller for the personal information collected through this website and through the services I provide.

What I collect and why
Contact form
If you contact me through the website, I collect your name, email address, business name and the message you send me so I can reply to your enquiry.
Enquiries are saved on this website, emailed to me and recorded in the systems I use to manage enquiries and client work.
If an enquiry does not lead to any work, I normally delete it after 12 months.
Discovery call bookings
If you book a discovery call, I collect your name, email address, business name, telephone number if you choose to provide it, details of what you would like help with and your answers to the booking questions.
I use this information to arrange the call, send your confirmation and prepare for our conversation.
The booking is added to my Google Calendar and recorded in the systems I use to manage enquiries and client work.
If the call does not lead to any work, I normally delete the details after 12 months.
Free Admin Kit and newsletter
If you sign up for the Small Business Admin Kit, you also join my email newsletter, which is managed through MailerLite.
I use your name and email address to send you the kit and occasional emails from Virtually Rory.
Every marketing email contains an unsubscribe link. You can unsubscribe at any time and still keep the Admin Kit.
When you unsubscribe, MailerLite may retain your email address on a suppression list so that you are not accidentally emailed again.
Free email deliverability checker
When you use the free email deliverability checker, I record the domain you checked, the results of the check and the date and time it was carried out.
I use this information to monitor the tool and make sure it is working properly.
I do not intentionally collect your name, email address or other contact details through the checker.
Checker records are normally kept for 12 months.
Client onboarding
If you become a client, I collect the information needed to set up our working relationship.
This may include your business details, the name of the person signing the agreement, your address and contact details, company and ICO registration numbers where relevant, and a link to your privacy policy.
I use this information to set up our agreement, manage your client account and provide the services you have asked me to carry out.
Client work
If you become a client, I may process personal information that is necessary for me to complete the work you ask me to do.
The exact information involved depends on the work.
Where I process personal information on your behalf as part of client work, this is also covered by our agreement and any applicable data processing arrangements.
Client and business records are kept for as long as they are needed for the working relationship and afterwards where necessary for legal, tax, accounting, insurance or record-keeping purposes.
Visitor logs
Like most websites, this website records technical information such as your IP address, browser information and pages visited.
I use this information to monitor how the website is used, maintain its security and investigate misuse or technical problems.
Website logs are normally deleted after 90 days.
Reviews
Reviews displayed on this website are taken from my Google reviews and shown using a widget provided by Trustindex.
When a page containing the review widget loads, your browser may connect to Trustindex's systems. This means Trustindex may receive technical information such as your IP address in accordance with its own privacy policy.
My overall Google rating may also be retrieved by the website. This does not require you to sign in to Google or provide personal information to me.

Lawful basis
I only process personal information where I have a lawful reason to do so.
For enquiries and discovery calls, I normally process your information because you have asked me to take steps before potentially entering into a contract with you.
For client onboarding and client work, I process information where it is necessary to provide the services we have agreed.
I send my newsletter on the basis of your consent. You can withdraw that consent at any time by unsubscribing.
I process website logs, deliverability checker records and some information relating to the running and protection of the business on the basis of my legitimate interests.
Where optional cookies require consent, they are only used after you have given that consent.
Who sees your information
I do not sell your personal information or share it with anyone for their own marketing.
I use trusted software and online systems to help me manage client work, communicate with clients, keep track of requests and tasks, and securely store information.
Where third-party services process personal information on my behalf, I take reasonable steps to make sure appropriate safeguards are in place.
These include:
- Hostinger, which provides hosting for this website and my business systems.
- Google, which provides my business email and calendar.
- MailerLite, which manages my newsletter and email marketing.
- Trustindex, which displays reviews on this website.
Some providers may process information outside the United Kingdom. Where this happens, I take reasonable steps to make sure appropriate protections are in place.
Your rights
Depending on the circumstances, you may have the right to:
- ask for a copy of the personal information I hold about you;
- ask me to correct information that is inaccurate;
